Terms & Conditions



The Client, by placing an order via online, email or phone, agrees that they accept the conditions of the rental agreement.


DEPOSIT AND BOOKING: A small non-refundable deposit will be required at the time of booking in order to reserve your party date and theme, payable by PayPal or BACS. The deposit will go towards the total rental cost of your party. If not received within 24 hours of your booking, your date and theme will be released. The remaining rental balance will be due 7 days prior to delivery. Final payments not received by this time will result in the cancellation of your party unless a prior agreement has been arranged. By paying your deposit you agree to Backyard Events Essex Terms and Conditions. This is stated on your invoice.

We must receive confirmation of the final number for your sleepover party and add-on choices no later than 7 days prior to the date of the party.

All bookings are for one overnight hire period unless otherwise stated.

All prices are subject to change, however prices quoted at the time of booking will always be honoured.

CANCELLATION: Cancellations can be made 14 days prior to the scheduled party date. The small deposit is non-refundable, but may be applied towards the cost of another party if held within 90 days of the original party date. If you choose to cancel our services for any reason, your deposit will be forfeited.

Backyard Events Essex reserves the right to cancel your party booking at any time, for any reason. We will always try to give as much notice as possible. Upon any such cancellation we will refund the Client any monies paid in respect of the party booking, within 30 days, should any refund be due. Backyard Events Essex will not be liable to pay any compensation to the Client or any other person for any loss, damage or expenditure arising directly or indirectly from the cancellation. Backyard Events Essex reserves the right to terminate the booking without notice if there is a breach of these conditions.

EXTREME WEATHER: Backyard Events Essex reserves the right to cancel should we deem weather conditions unsafe for our outdoor bell tents and dome. Where winds and gusts exceed 24mph the client will be offered either the option to postpone or an alternative indoor party. Although waterproof should there be torrential rain or snow the client again will be offered an option to postpone or an alternative indoor party. Bookings will not be cancelled for light showers or winds.

FINAL PAYMENT: All outstanding balances are due 7 days prior to delivery, payable by BACS. The remaining balance is based on the agreed upon number of guests and any additional items.


INSURANCE: Backyard Events Essex is fully insured. The Client is responsible for the security of the equipment at all times during the rental period. Any lost, broken, damaged or destroyed equipment will be charged to the Client at full replacement value. Where items are insured, the client will be responsible to cover any insurance excess costs. The balance must be settled within 28 days.

DELIVERY AND SET UP: Delivery, assembly, styling, collection and general laundering are included in the hire cost unless stated otherwise.

The time required for complete set up is approximately 1 - 2.5 hours, but may take more or less depending on the type of party and add-ons ordered. We ask that no children or guests are in the party area during set up in order to avoid a time delay.

*All floor areas must be clean from dirt, dust & furniture before setup begins.

COLLECTION: We will arrive the day after the party, at a previously agreed up time, to breakdown and collect items.

A walk-through will be performed with the Client prior to breakdown to confirm there are no damages or issues.

DAMAGES: General cleaning of all items are included in the hire price.

The Client will be responsible for the cost of replacing any Backyard Events Essex equipment damaged due to mistreatment while at the Client’s premises. This includes breakages of teepees frames/lights/breakfast trays, tears/holes in the teepee fabric/pillows/linens/stuffies/foam mattresses, projectors, bell tents/ domes or extra cleaning needed due to stains.

Smoking/naked flames are not permitted under any circumstances around Backyard Events Essex items.

Chargers are not permitted in the teepees for risk of electric shock and fire.

BELL TENTS: Bell tents must be pitched on a flat grass only surface. Artifical grass is not suitable for our bell tents.

Our 4m bell tent requires a 5m minimum space and our 5m requires a minimum of 7m. This is essential for pegging down the guy ropes.

Footwear should not be worn inside the Bell tents.

Please ensure we have easy access to the property.

PROJECTORS: Projectors work best in low light environments. Bookings made for outdoor parties are on the assumption that movies will be played later in the evening. Although we offer the best quality projectors we cannot guarantee a clear picture during the day.

It is the responsibility of the Client to take duty of care and always supervise children with the hire equipment. Diligence must be taken with younger children on the Client’s premises.

Assembly/Disassembly is the responsibility of Backyard Events Essex staff. Please allow our staff to set up and pack up all items for your safety and to reduce the risk of damage. DIY parties are available upon request.
